Privacy statement of Vertolk Translation Agency

If you need a translation, we need your details in order to serve you as well as possible. We recognise the importance of handling your personal data with care, so that it cannot be seen by unauthorised persons or used for improper purposes.

We process and secure personal data carefully. We handle your (personal) data with care and comply with the relevant laws and regulations. In this privacy statement we explain which personal data we process, what measures we have taken to protect it and what your rights are with regard to your personal data.

Purpose of collecting and processing personal data

Why and on what basis we process personal data.

There are two main situations in which you provide us with personal data (about yourself or third parties): when you ask us for a quotation for interpreting or translation services, and when you engage us to carry out interpreting or translation services. The main moments when your personal data is used are:

  • discussing the content of your assignment during the quotation stage and during the work;
  • issuing a quotation;
  • handling your payment;
  • handing over documents.

We will only use your personal data for the purposes for which you have given us permission. These purposes can be summarised as “providing our services”. We do not use your personal data for any other purpose, for example for sending mailings or for any other form of recruitment or advertising. Nor will we make your personal data available to any other party.

Vertolk Translation Agency also processes personal data because we are legally required to do so, such as data we need for our tax return.

We do not collect personal data through our website www.vertolk.nl. The website uses cookies with a purely technical function. They make sure the website works properly and, for example, that your preferences are remembered. These cookies are also used to keep the website working well and to optimise it. We do not make decisions based on your preferences on the website.

The contact form is protected by Google reCAPTCHA to prevent spam. Google's reCAPTCHA service is only loaded once you start filling in the form; Google may then process technical data such as your IP address, browser details and cookies. See the Google Privacy Policy. The details you enter in the form reach us by e-mail and are only used to answer your question.

Vertolk Translation Agency does not make decisions based on automated processing on matters that may have (significant) consequences for people. These are decisions taken by computer programs or systems without a human being (for example an employee of Vertolk Translation Agency) being involved.

Security of your personal data

Specific privacy requirements apply to our staff for the security of your personal data. In addition, we safeguard the security of your personal data by applying the need-to-know principle when carrying out your interpreting or translation assignment. In practice this means that we only give access to your personal data to those people who actually work on your assignment.

Your personal data, both in digital form and, for example, in copies of documents, is secured in accordance with the minimum legal requirements. In addition, we will not keep your personal data longer than necessary for carrying out the assignment, unless there is a legal obligation to keep it longer.

When your personal data is no longer needed for carrying out the assignment, we will destroy it.

Your rights under the GDPR (General Data Protection Regulation)

You can exercise your rights as a data subject under the GDPR via the contact form on our website. As a data subject under the GDPR you have the following rights:

We will handle your requests within the legal time limit and use the legal options to grant or refuse your request(s). If we refuse your request, we will explain our decision.

When we process your personal data on behalf of another party that has a valid reason to do so, we ask you to send your request for access, erasure etc. to that other party (the “controller”).

A small contribution, depending on the time and effort involved, may be requested to cover administrative costs.
